The mailto link redirects the user to an email address. When the user clicks on this link, an empty message window appears with a pre-filled ‘To’ field and a pre-filled ‘Subject’ field. The ‘To’ field addresses the email included in the link. The user then types the message and quickly sends the email to the desired recipient.
How to add a mailto link in Outlook signature?
To add a mailto link in your Outlook signature, follow these steps:
- Create a new email in Outlook.
- Select Outlook Signatures.
- Create or edit a signature.
- Add a mailto link via hyperlink.
Let us see these in detail.
1] Create a new email in Outlook
Open the Outlook desktop app. Under the Home tab, click on the New Email option in the top left corner. A new message window will appear.
2] Select Outlook Signatures
Click on the Signature dropdown in the toolbar on top of the new message window. A list of signatures you’ve added to your Outlook mailbox will appear. Click on the Signatures… option at the bottom of the dropdown. The Signatures and Stationery window will open up.
3] Create or edit a signature
Under the E-mail Signature tab, select a signature you would like to edit. Or click on the New button to create a new signature specifically for the mailto link.
Next, enter or edit your signature details, such as your name, designation, company logo, important links, etc.
4] Add a mailto link via hyperlink
Within the add/edit signature window, place your cursor at the position where you’d like to place the mailto link. Then click on the hyperlink icon at the top-right corner of the window.
The Insert Hyperlink window will appear.
Select E-mail Address under the Link to: options on the left. You will see the following fields on the right:
- Text to display: In this field, enter the text you would like to show as the linked text in your signature.
- E-mail address: In this field, enter the email address of the person or business you would like to address via mailto. A ‘mailto:’ prefix will be added to the email as you begin typing.
- Subject: Enter the Subject line for the mail in this field.
- Recently used e-mail addresses: Leave this box empty.
Click on the OK button to save changes to Outlook.
Now you’ve added a mailto link to your signature. The following image shows how the signature looks when you add it to the message body while composing an email in Outlook:
Tip: Use the Screentip option to change the text that appears in the Screentip popup when you hover the mouse over the mailto link.

When the user clicks on the mailto link (which is ‘Click to Contact Me!’ here), a new message window appears in the email app of the recipient for conveniently sending a mail to the addressee.

How do I hyperlink my email address in my email signature?
Open Outlook and click on the option to create a new email. Go to Signature > Signatures... Select your signature from the ‘Select signature to edit’ list. In the ‘Edit signature’ section, select your email address. Then click on the Hyperlink option in the toolbar above the ‘Edit signature’ window. Insert Hyperlink window will appear. Select E-mail Address under ‘Link to:’. Enter your email address in the E-mail address field on the right side of the window. Click on the OK button to save changes to Outlook.
How do I add a hyperlink to my email signature in Office 365?
Open Outlook Office 365. Click on the Settings icon in the top-right corner of the window. Then click on View all Outlook Settings. Go to Mail > Compose and reply. In the Edit signature window, select your email and then click on the Hyperlink icon in the toolbar. In the Insert link window, type ‘mailto:[email protected]’ in the Web address (URL) field, where [email protected] refers to your email address.
