Is your signature not displayed in your Replies to emails in Outlook on Windows? Well, you are not the only one facing this issue. Some Outlook users have reported that their signature doesn’t appear when they reply to or forward emails. Some say that the full signature doesn’t show up, while many have reported that the image in their signature doesn’t display.
Why is my signature image not showing when replying in Outlook?
If your signature image is not showing when replying to emails in Outlook, you have likely set the message format to Plain Text or Rich Text. The images won’t show up in your signatures for plain text messages. Hence, you must change the message format to HTML to show image signatures in your replies and emails. There can be some other reasons why your signatures are not showing or working in Outlook when your reply to messages. It can be because your default signature settings are configured incorrectly.
The issue might also occur if you have a previously installed trial version of Microsoft Office, which conflicts with the newer version and causes this error. Also, if the Outlook app is corrupted, you might face this issue.

Outlook Signature not working on Reply
If your Outlook signature is not showing or working when you reply to an email, use the below fixes to resolve this issue:
- Set up the correct default signature for replies.
- Create a new signature.
- Change message format to Plain Text.
- Choose HTML format in case of image signatures.
- Check if the same issue occurs in the Outlook web app.
- Uninstall the trial version of Microsoft Office (if applicable).
- Repair Microsoft Outlook.
1] Set up the correct default signature for replies
The first thing you should do if your signature is not showing in replies on Outlook is to check your signature settings. If you have not set a default signature for replies in Outlook settings, the signature won’t display in your replies to emails. Hence, you must check your Outlook signature settings and choose the correct signature for replies or forwards.
Here are the steps to select the correct default signature in Outlook:
- First, open MS Outlook and go to the File option.
- Now, click on Options to open up Outlook’s main settings window.
- Next, move to the Mail tab and press the Signatures button.
- In the opened Signatures and Stationery window, choose the signature that you want to use in your emails from the E-mail Signature tab.
- After that, select the email account for which you want to use the selected signature.
- Then, click the Replies/forwards drop-down and choose the correct default signature. And, see the correct signature for the New messages option as well.
Once done setting up the above options, check if your signatures show up in your replies on Outlook now. If not, move on to the next fix.

2] Create a new signature
You can try creating a new signature in Outlook and use it to check if the problem is resolved. To do that, open Outlook and click on File > Options. Now, go to the Mail tab and click on the Signatures button. Next, press the New button in the E-mail Signature tab and then enter the new signature. Once done, click on the OK button. You can also add a new signature on Outlook web by using Settings > View all Outlook settings > Mail > Compose and reply > New signature option.
After that, set up the newly created signature as the default signature for your email account using the steps mentioned in fix (1). You can now check if the signature shows up in new messages or replies or not.
3] Change message format to Plain Text
The next thing you can do to fix the problem is to change the message format to plain text. Older MS Exchange services can read plain text only. So, you can try switching your message format to plain text. Here are the steps to do that:
- First, open Outlook and click on File > Options.
- Now, navigate to the Mail tab.
- Under the Compose messages section, click on the drop-down button associated with the Compose messages in this format option and choose Plain Text.
- Finally, press the OK button to save changes.
Check if the problem is now resolved.

4] Choose HTML format in case of image signatures
With fix 3, if you have created image signatures, choosing Rich Text or Plain Text as the message format might be the case why your Outlook Replies do not display your signature. Hence, make sure you have set the message format to HTML.
To do that, open Outlook, go to the File menu, click on Options, and move to the Mail tab. Now, set Compose messages in this format to HTML and press the OK button. Hopefully, the problem will be resolved now. If not, you can use the next fix.

5] Check if the same issue occurs in the Outlook web app
You can try using Outlook’s web app and see if you face the same issue. It might be some issue with your app, which is why the Outlook signatures are not working on reply. So, for now, you can try using the online application of Microsoft Outlook to send replies with a signature.
6] Uninstall the trial version of Microsoft Office (if applicable)
In case you have previously installed a trial version of Microsoft Office and are currently using another version of Microsoft Office, it is recommended to uninstall the previous version. It might be causing issues with certain features like signatures. So remove it from your computer.
To uninstall Microsoft Office, open Settings using Win+I and press the Apps > Installed apps option. Locate the Office app and tap on the three-dot menu button. After that, select the Uninstall option and complete the uninstallation by following the prompted instructions. When done, reboot your PC and check if the issue is fixed.

7] Repair Microsoft Outlook
Sometimes app corruption can also such issues. Hence, you can try repairing your Outlook app and see if the problem is resolved.
To do that, press Win+I to launch the Settings app and choose the Apps > Installed apps option. After that, scroll down to the Microsoft Office app and click on the three-dot button associated with it. Next, press the Modify option and then select Quick Repair or Online Repair in the appeared dialog window. Finally, press the Repair button and let it fix the corruption in your Office apps like Outlook.

How do I get Outlook to automatically include my signature when replying?
To include your signature while replying to emails in the Outlook app, you must create a signature and then set it as the default signature using the File > Options > Mail > Signatures option. If you use the Outlook web app, click on Settings > View all Outlook settings option. Afterward, go to the Mail > Compose and reply section and click on New signature to create a signature. When done, set the created signature as the default signature under the Select default signatures section.
